Office Assistant

Office Assistant is an administrative support role to ensure day-to-day operational efficiency in the running of the office. Right from managing office decorum to scheduling meetings/appointments, organizing office layout, ordering stationary, coordinating with vendors/suppliers, maintaining invoice and guiding housekeeping – the responsibilities encompass a wide range of activities.

In addition, you are also expected to provide general support to visitors/guests and assist in the on-boarding process of new hires. Addressing employee queries with respect to office management issues is also a part of the stated role. The role also requires a creative thinker with the ability to proactively offer innovative service/operation improvement ideas.

Roles and Responsibilities:

  • Work closely with the management to enhance operational efficiency
  • Visitor/guest management duties
  • Managing various office invoices and stationary
  • Liaise with vendors/suppliers/service providers
  • Organizing office premises/layout
  • Provide general admin support to all stakeholders
  • Address employee queries, resolve conflicts and support HR function

Qualification, Experience and Skills:

  • A graduate degree in any stream
  • Minimum 3 years of experience as administrative assistant or relevant roles
  • Hands-on knowledge of office admin responsibilities, systems and procedures
  • Excellent time management skills with ability to multi-task
  • Satisfactory negotiation skills
  • Excellent written and verbal communication skills
  • Proficiency in MS Office / Google Suite
